Most small businesses do not need another abstract AI strategy session. They need a useful AI system that fits where the team already works.
That is why we have added a new SMB-AI service: Managed AI Workspace.
The short version: we set up a private AI assistant inside Slack, Teams, Telegram, or email. It can answer from approved company documents, monitor useful sources, and draft repeat admin work for human review. You can see the live service page here: Managed AI Workspace for Irish SMBs.
Why This Offer Exists
There is a growing pattern in practical AI work: the valuable part is not giving a business another login, another chatbot tab, or another vague promise about productivity. It is adapting the system to the company’s real workflows, keeping it maintained, and making it usable for non-technical teams.
That fits what we already see with Irish SMBs: the problem is rarely “we need AI”. The problem is usually more specific:
- company knowledge is scattered across Drive, SharePoint, Notion, inboxes, old proposals, and staff memory
- people ask the same internal questions again and again
- managers rewrite the same client updates, reports, and follow-ups
- useful sector news, tenders, client mentions, and competitor updates disappear into feed sludge
So the value offering is not “we install some AI tool and leave”. Buyers should not have to care about the plumbing. The value offering is:
A managed AI workspace that lives where your team already works.
What It Can Do
The first version focuses on practical workflows, not science-fair automation.
1. Ask Your Company Docs From Chat
A team member can ask a question in Slack, Teams, Telegram, or email, and the assistant can answer from approved internal knowledge sources. That might include policies, onboarding documents, proposal libraries, SOPs, service notes, or client-facing templates.
The page with concrete examples is here: Managed AI Workspace examples.
2. Curated Alerts Without the Noise
The workspace can monitor selected sources and send short briefings into the channel your team already checks. This is useful for tender-heavy firms, consultants, agencies, and operators watching clients, competitors, regulations, or local market changes.
We already use source-monitoring and briefing workflows internally at SMB-AI, which is why this belongs in the offer rather than in the “nice idea, never maintained” drawer.
3. Draft Repeat Admin Work
The assistant can turn notes, emails, PDFs, or rough bullets into first drafts: client follow-ups, summaries, report outlines, checklists, and internal working documents.
The important phrase is first drafts. The workspace is there to reduce repetitive work, not to silently email clients or mutate your business records like a caffeinated intern with root access.
Hosted On Your Premises Or In The Cloud
The workspace can be hosted on your premises or in the cloud. We decide that with you before setup, based on your data, budget, internal IT capacity, and how much control you want over the environment.
That is deliberately plain language. No alphabet soup. No “just trust us bro” architecture diagram. Just: hosted on your premises, or hosted in the cloud.
What We Handle
The service is designed for teams that want the outcome without managing the plumbing.
SMB-AI can handle:
- workflow audit and setup
- approved document/source connection
- chat interface setup
- prompt and workflow configuration
- hosting choice discussion
- monthly maintenance
- small workflow tweaks
- monitoring and support
The process is outlined here: Managed AI Workspace process.
Pricing
The new offer starts with a small paid audit and then a setup plus monthly management model:
- workflow audit from €350
- starter workspace from €1,500 setup + €150/month
- managed workspace from €3,000 setup + €200/month
The live pricing page is here: Managed AI Workspace pricing.
For most small teams, that is a cleaner starting point than hiring, overbuying enterprise software, or asking staff to become part-time prompt engineers because someone saw a LinkedIn carousel.
Who It Fits
This is most likely to fit Irish SMBs where:
- the team already uses Slack, Teams, Telegram, or email heavily
- useful knowledge is scattered across documents and inboxes
- one or two people are constantly interrupted for internal answers
- reports, summaries, checklists, or follow-ups are created repeatedly
- the business wants AI help but does not want to manage servers, model providers, prompts, or maintenance
It is less suitable if the business has no documented workflows, no internal owner, or only wants vague “AI transformation”. That way lies expensive mist and a very bored consultant.
The Sensible First Step
Start with one workflow.
Not a transformation programme. Not a 40-page AI roadmap. One workflow where people already lose time: searching documents, drafting repeat updates, monitoring sources, or answering internal questions.
If it works, expand. If it does not, stop. Beautifully boring. Exactly how useful business software should be.
